What COI tracking software actually costs

Tier 1: basic trackers ($29–$50/month)

Self-serve tools that store certificates and remind you about expiration dates. They read the certificate face (dates, sometimes limits) but not the endorsement pages, and verification of anything deeper is on you. Right for very small vendor lists where someone in-house does the actual review.

Tier 2: software with real verification ($79–$300/month)

Flat monthly pricing scaled by vendor count, with automated extraction, requirements checking, and — in the strongest cases — endorsement-page review (waiver of subrogation, primary & non-contributory, CG-form detection) done in software. Automated chasing of vendors and their agents is standard here. This tier delivers most of what the service tier does, at roughly one-tenth the cost, which is why it's growing fastest.

Tier 3: full-service review ($7,500–$10,000+ per year, often per-certificate fees)

Human review teams check every certificate and endorsement, with turnarounds from a day to two weeks depending on queue. Enterprise contracts, implementation projects, annual minimums. The human layer is valuable when your requirements are genuinely bespoke per contract — and overkill when they're the standard AI/waiver/P&NC package.

What actually drives your cost

• Vendor count — the primary axis on almost every price sheet.
• Review depth — face-only vs endorsement-page verification is THE line between tiers; ask specifically how endorsements are verified and by whom.
• Certificate volume fees — some services charge per certificate reviewed; at renewal season this dwarfs the platform fee.
