Certificates and extraction

Upload a certificate and CoverWarden reads the whole PDF — the ACORD 25 face and every endorsement page behind it. Here's what happens and how to intervene when a document is unusual.

What gets extracted

  • Producer (agency) name, email and phone — the agent email auto-fills the vendor's agent field if it was empty.
  • Insured name and address; insurers with NAIC numbers.
  • Every filled policy row: type, policy number, effective/expiration dates, limits, ADDL INSD / SUBR WVD marks.
  • Endorsement review: waiver of subrogation, primary & non-contributory, additional insured form numbers (e.g. CG 20 10, CG 20 37) and completed-operations coverage — each with a short quote as evidence.

Processing, retries and errors

Extraction runs in the background — uploads return instantly and the page updates itself. Failed reads retry automatically up to three times. A certificate stuck in error usually means a corrupted or image-less scan: use Re-run extraction on the certificate, or fix the source PDF and upload again.

Correcting a read

Open the certificate → Edit extraction to correct the insured name, policy types, numbers, dates, key limits, or additional insured marks. Corrections re-evaluate compliance immediately and are recorded in the activity log. Extraction is very accurate on genuine ACORD forms; corrections mostly matter for unusual or partly-illegible scans.

Certificate history

Every upload is kept — compliance is always judged on the newest certificate, and older ones remain downloadable for the audit trail. Deleting a certificate removes its file permanently.
